Subject: New Features: SMS for Patient Follow-ups and more

Hello everyone,


We've released few BIG updates!


👉 SMS for Patient Follow-ups


You can now send SMS follow-ups to patients for Recall, Unscheduled Tx, Patient Balances, and Broken Appointments.


You don't have to type the full text when you're following up with patients.


For example, if you're on Recall follow-up panel, you should already have a Recall follow-up templates preselected for you.


Once you click, auto text will be generated with the patient's name and other text.


You can always edit this Wiki file or the text on the go as you're following up.


What you need to do to get this to work?


We will need to give you a new number that will be used to send and receive text messages.


If you haven't done it already, please reach out to us by replying to this email and we'll get you set up in less than five minutes. You won't be able to send SMS follow-ups until this is done.


👉 Broken Appointment Lost Production tracking and Procedures attached


You will now be able to see how much $ net adjusted production is lost when you break an appointment for a patient as well as see which procedures were actually attached to the appointment.


This will be effective as of 7/10/2022 since that's when we're starting to track this information.


So any broken appointments in your practice after 7/10/2022, you will be able to see the $ value attached to that appointment and procedures that were attached.


Doesn't Open Dental do this already? 


NO! This isn't possible within Open Dental as it doesn't track the lost production, nor does it track which procedures were attached to the appointment.


Here's the built in report in OD...



It only shows which type of code it was 9986 (missed) vs 9987 (cancelled), and it doesn't show the attached net production to that appointment - which means I have no way of knowing how much $ net production I'm losing as result of broken appointments.


How does Teamio solve this problem?


Every time an appointment is broken for any patient, we track the lost production as well as the procedures attached to that appointment.


For now, we are displaying these values on the Broken Appointment page for this week, last week, this month and last month.


Eventually we'll have a way for you to look at your broken appointment stats over a time period to answer questions like the following:


  • how much $ net production did we lose for a time period for a certain Provider?

  • how many broken appointments for a certain patient over a certain time period?

  • and what they're costing you



👉 Automation Workflow Update (in beta)


For now, we've released three triggers:

  • Appointment Completed

  • Appointment Scheduled

  • Appointment Broken 


For each of those triggers, you can set up one or more of the following type of actions (for now):

  • Send email

  • Send Text

  • Assign Teamio Task to a Team member (and assigning a training Wiki page as training reference material)



These actions will be triggered if they meet the condition of meeting one or more CDT codes you have set up..like you see in the picture below..

What you need to do to start using Workflow?


If you haven't yet, you need to verify your email so your emails is not looked at as spam by spam gods.


To be able to use SMS functionality throughout Teamio platform, you'll need a phone number which we can set up as I discussed earlier.


Some of you have already done this, and we'll reach out to you separately to make sure your existing workflows you've set up are going to work correctly after this update.



p.s. When you get to the office tomorrow, don't forget to do a hard-refresh by doing the following (everyone on the team should do this) to make sure you're looking at our latest update:


1) Log out, then 

2) On the log in screen, 

- Hold down Ctrl (Control) + Shift and click R, Or
- Hold down Ctrl (Control) and click the Reload button.
