Subject: How One Studio Owner Uses AI to Run His Music School

A year ago, Kirk was spending 3–4 hours a day on administrative work in his music studio.

Emails. Makeups. Cancellations. Following up with leads. Parent questions. All the little things that need to happen to keep a studio running.

He tried hiring assistants to take some of that work off his plate.

One was fast, but the quality wasn't there. Another did good work, but was so slow that Kirk was constantly waiting on her to finish something before he could move forward.

And even with help, he was still the person responsible for making sure everything got done.

Then he started experimenting with AI.

Not just asking ChatGPT to write emails or brainstorm ideas. He started teaching AI to actually do the administrative work for him.

Today, Kirk has an AI system that handles much of his studio's administration, marketing, lead follow-up, and day-to-day operations.

And he estimates it's saving him 60–80 hours every month.

I recently sat down with Kirk, owner of Hudson View Piano Studio and a member of Founder's Forum, to talk about exactly how he built this system.

You can watch it below.

Here’s some of what we covered:

  • Why Kirk went through two administrative assistants in four months…and why he decided to try AI instead of hiring a third

  • The difference between prompting AI, building reusable AI "skills," and creating automated "tasks" that run without you having to initiate them

  • How Kirk took the SOPs he created while going through our Scale training and used them to teach AI how to operate his studio

  • How his AI follows up with new leads in minutes, personalizes messages based on their inquiries, and helps move families toward enrollment

  • How AI handles parent communication, makeup lessons, cancellations, re-enrollment, and other administrative work that used to consume hours of his day

  • How he's using AI to help write blog posts, create social media content, research local SEO opportunities, and publish marketing materials

  • How to prevent AI from sending an inappropriate email or making a costly mistake by building human approval checkpoints into your workflows

  • How the 10/80/10 delegation framework I've taught for years applies to AI just as effectively as it does to human employees

  • The next level of AI automation, where AI can work toward a goal, identify additional tasks, and verify that the intended outcome was actually achieved

  • How Kirk initially replaced approximately $1,200/month in administrative labor with a $200/month AI subscription

  • And what happened when Kirk went to Portugal for a week and left his teacher and AI systems to keep the studio running

Thanks for watching!

Have a great week,
Daniel

PS> Toward the end of the interview, I asked Kirk whether he could build a similar AI system for another music studio.

His answer was yes.

We're exploring what that might look like for other school owners, including those who don't want to spend months learning the technical side of AI themselves.
